Example call workflow

  1. 0:00Receptionist

Thanks for calling. This is the virtual receptionist. How can I help today?

  2. 0:05Caller

Hi, my water heater is leaking a bit in the garage. Can someone come look at it?

  3. 0:10Receptionist

I can help with that. Is the water spraying or pooling quickly, or is it a slow drip?

  4. 0:16Caller

Just a slow drip. There's a small puddle.

  5. 0:19Receptionist

Thanks. If it starts leaking heavily, turn off the cold-water valve on top of the heater and call back. You'll be put through to our on-call technician. What's the ZIP code for the property?

  6. 0:30Caller

55418. And how much is it for someone to come out?

  7. 0:36Receptionist

That's in our service area. A diagnostic visit is $89, and the technician confirms any repair price on site before starting work. I have Thursday 8 to 10 AM or Friday 1 to 3 PM. Which works?

  8. 0:49Caller

    Thursday morning, please. I'm Maria.

  9. 0:52Receptionist

Thanks, Maria. Is this the best number to reach you? I'll send your request to the office and you'll get a text when it's confirmed.

  10. 0:59Caller

Yes, this number is fine. Thank you!

A better way to handle every business call

When your team is busy serving customers, calls can go unanswered. Nexora helps make sure every caller has a clear next step.

  • Missed calls

Answer callers when your team is on a job, with a customer, or already on the line.

  • After-hours calls

Help evening and weekend callers instead of sending them to voicemail.

  • Appointment requests

Capture requests and next steps, or book directly where your calendar supports it.

  • Lead follow-up

Send caller details to your team right away, so follow-up starts sooner.

  • Repetitive questions

Answer hours, service areas, and pricing basics from information you approve.

  • Inconsistent call handling

Give every caller the same agreed greeting, questions, and next steps.

An AI receptionist won't handle every call perfectly. We design clear handoff paths for the calls it shouldn't handle, and we review performance regularly.

Frequently asked questions

Technical, pricing, and privacy details depend on your setup and the platforms involved. We confirm them during discovery and document them before launch.

Ask us something else
What is an AI receptionist?

It's a voice assistant that answers your business phone calls. It can greet callers, answer common questions using information you approve, take messages, capture leads, and request or book appointments, then pass the details to your team.

Do I have to build it myself?

No. We design, build, test, and launch it for you, then manage it every month. Your part is sharing how your business works and approving what we build.

Can it use my existing business phone number?

Often, yes. Common options are forwarding calls from your existing number (always, after hours, or when busy) or moving the number to a new provider. What's possible depends on your phone provider, and we confirm the right approach during discovery.

Can it book appointments?

It can book directly when your calendar or scheduling software offers a compatible integration. Otherwise it collects appointment requests for your team to confirm. We tell you which applies before you commit.

What happens when it cannot answer a question?

We design a fallback for that. Depending on your preferences, it can take a message, transfer the caller to a person, or tell them when to expect a callback. We review these calls and add answers where it makes sense.

Can it transfer a call to a human?

Yes, where your phone setup supports it. You decide which calls get transferred, to whom, and what happens if nobody picks up.

How much does implementation cost?

Setup typically starts in the ranges shown in our pricing section, from a few hundred dollars for a simple build to several thousand for complex ones. You get a fixed quote after discovery, before any work starts.

Why is there a monthly management fee?

An AI receptionist needs looking after. Your hours, prices, and services change, platforms update, and real calls reveal things to improve. The monthly fee covers monitoring, fixes, updates, reporting, and support so you don't have to manage it yourself.

Are phone calls and usage included?

Not always, and usage is never unlimited. Call minutes, phone numbers, voice platform usage, and third-party software may be billed separately depending on your package. We estimate these costs with you and set them out in your service agreement.

How long does setup take?

It depends on scope. A simple receptionist moves faster than one with several integrations and call flows. We give you a timeline after discovery, and part of it depends on how quickly we can review and test together.

Can you connect it to my existing tools?

Often. Many calendars, CRMs, and business tools offer integrations we can use. Some don't, or limit what's possible. We check your tools during discovery and confirm what can be connected before you commit.

How do you handle customer data and privacy?

We collect only what your call flows need, limit who can access it, and document how call recordings, transcripts, and caller details are stored and for how long. The specifics depend on the voice platform and integrations chosen, and on any rules that apply to your industry, such as healthcare privacy requirements. We agree them in writing before launch. See our Privacy Policy.
